We are seeking a Business Events Coordinator who thrives in a fast-paced setting and is energised by the challenge of providing convention support with site visit planning, creating documents for congress bids, collaborating with city partners and being an integral part of the sales team.
To excel in this role, you'll need excellent organisational and communication skills, a talent for managing relationships, and the ability to handle multiple projects and adopt to changing demands.
Primary Function:
To deliver professional business event support services to the EICC. The role will involve collaboration with all business areas, primarily supporting the sales and marketing functions. You will assist in the planning and organising of tasks associated with winning business events for the EICC.
Additionally, you will provide convention services to potential clients, coordinating beyond the EICC with items such as hotels, social venues, and leisure activities. This role will also support the marketing function where appropriate and be involved in city initiatives and familiarisation trips.
By taking an active role within the team, you will contribute to the EICC objectives and strategic plan by developing and implementing effective tools and practices that align with the EICC ethos and values.
Key Responsibilities:
Business Events Support:
· Assist in providing Convention support with site visit planning, collating information from third parties, and creating documents for Congress Bids.
· Assisting with the collation of information for colleagues across the sales teams to support proposals. Items include, but not limited to, accommodation requests, social venues, travel, etc.
· Coordinate city site visits and, where appropriate, function as a point of contact for clients throughout their visit.
· Work to improve accommodation allocations through a partnership approach with relevant parties.
· Work with city partners to leverage discounts for travel and activities for event organisers to take advantage of when planning events in Edinburgh.
· Play a key role, where appropriate, in the planning, coordinating, and executing of key annual activities such as the Festive Fam Trip, Festival Entertainment, Halloween Film Night, EICC Live and any other identified event.
· Create processes and required documents to support the collation of information from both internal and external customers.
Project Support:
· Support EICC Projects within the sales and marketing team, such as, but not limited to, EICC Gateway and EICC Events, promoting revenue-generating activity such as accommodation sourcing and exhibition sales.

Key Selection Criteria:
· Preferred 2 years of experience in a business events environment or event planning.
· Excellent oral and written communication skills.
· Experience with providing excellent customer service.
· Excellent time management skills with the ability to meet business and client deadlines.
· Ability to multi-task and work on multiple projects at the same time.
· Strong and proactive team player.
· Good organisational and strong administrative skills.
· Essential experience and knowledge of using Advanced MS Office.
· Experience in social media marketing and content creation.
